Google Workspace AI in 2026: Gemini as an Orchestrator Across Your Whole Studio
Gemini in Workspace can now create docs and slides from inside Gmail, connect to Salesforce, HubSpot and Asana, and enforce brand standards with skills. What that means for a fashion business.
AI BusinessShort answer: In 2026 Gemini in Google Workspace stopped being a per-app sidebar and became an orchestrator. You can prompt it from Gmail, Chat, Drive, Docs or Slides and it will create formatted documents, structured sheets or designed slides in the background, save them to Drive, schedule events and coordinate tasks — without you switching app. It also connects to third-party tools through MCP, and Workspace skills let an organisation enforce templates and brand standards.
The three changes that matter
Cross-app orchestration (September 2026). Previously, generating a document meant being in Docs and building a spreadsheet meant being in Sheets. Now Gemini can create content wherever you are prompting from — generate a formatted brief from an email thread while still in Gmail, or build a deck from a Drive folder without opening Slides. Google is also using this to power flows built in Workspace Studio.
Third-party connectors (15 September 2026). Gemini in Workspace can now interact directly with Asana, Atlassian Rovo, HubSpot, Intuit Mailchimp, Intuit QuickBooks, Monday and Salesforce through Model Context Protocol integrations, across Sheets, Gmail, Drive, Docs and Chat. Admins control which connectors are enabled at domain, organisational unit or group level. It is on by default for users with Gemini for Workspace access.
Workspace skills (August 2026). Save brand standards, templates and processes so they are applied automatically. Plus, in Meet, "Take notes for me" now captures screenshots of presented slides alongside the action points, and Google Forms gained quiz generation with "Help me create".
What this looks like in a fashion studio
- From email to production brief. A supplier thread in Gmail becomes a formatted brief in Drive, in one prompt, without copy-paste.
- Line sheets and range plans. Ask for a structured sheet from the data you already have, rather than building the template yourself.
- Season decks. A Drive folder of images and notes becomes a first-pass deck you then art-direct.
- Sales pipeline inside the doc. With the Salesforce or HubSpot connector, wholesale account context arrives where you are writing, not in another tab.
- Campaign email planning. The Mailchimp connector puts list and campaign context into the same conversation.
- Finance questions without the switch. QuickBooks data queried from Sheets.
- Meeting records with visual context. Screenshots of the slides you actually presented, attached to the notes.
Set it up properly, once
- Decide the connectors before turning them on. Enable the ones your team genuinely uses; every extra one is an extra place data moves.
- Write your skills like a brand book. Typography, tone of voice, document structure, approval language. Once, properly.
- Build the templates first. The AI fills templates far better than it invents them.
- Agree what it is not allowed to send. Drafting is safe; sending on your behalf is a policy decision.
The governance question
Admins manage third-party connectors in the Admin console under Gemini for Workspace. If your brand handles customer data, supplier pricing or unreleased collection material, that panel deserves a real conversation, not a default. Decide by organisational unit — the design team and the finance team do not need the same access.
Is it worth the upgrade?
If your studio already runs on Google, yes — the value is in the removal of switching, and switching is where small teams lose their day. If you live in Notion, Slack and Figma, the case is weaker.
Where to start
The tools only help if what goes in is clear. Use our free collection brief writer to produce a structured brief you can drop into Docs, and the free tools hub for the rest of the studio workflow.
