Google Workspace for creative teams
The fastest AI wins in a small studio usually happen inside Workspace, not in a new app: drafting in Docs, cleaning supplier data in Sheets, summarising a thread in Gmail, generating a deck from an approved brief. The advantage is that the AI already sees your real material.
What it is good at
- Works on your actual files, so no copying between tools.
- Shared with the team by default.
- Good at the boring work: summaries, tables, formatting, follow-ups.
Where it falls short
- Weaker than dedicated tools for concept and image work.
- Quality depends on how tidy your drive already is.
- Admin settings control what is available to the team.
How to use it for creative work
- 01
Tidy one folder
Put the brand material in one place with clear names. Everything downstream improves.
- 02
Template the repeated documents
Brief, costing, launch plan. Templates plus AI beat blank pages plus AI.
- 03
Automate the inbox summary
Ask for a daily summary of threads needing a reply, and act from that list.
- 04
Clean data in Sheets
Use AI to normalise supplier lists, sizes and product names before they reach your store.
- 05
Generate decks from approved text
Write and approve the words first, then build the deck from them. Never the other way around.
Ready-to-use prompts
From these notes, produce: decisions made, actions with an owner and a date, and open questions. Nothing else.
Normalise this sheet: consistent product naming, sizes in one format, currencies converted to euros, and a new column flagging rows with missing data.
Summarise this email thread in five lines, state what the other side is actually asking for, and draft a reply that agrees to one thing and pushes back on one thing.
Turn this approved brief into a ten-slide deck outline: one idea per slide, a title and three bullets each, ending with next steps and cost.
From these numbers, write a short weekly report: what moved, why it probably moved, and the one thing we should change next week.
Questions people ask
- Is this worth it for a team of two?
- Yes, mostly for admin: summaries, data clean-up and templated documents save hours a week.
- Where should I not use it?
- Concept writing and image direction. Do those in a tool built for them, then bring the result back in.
